Adding additional clients to a single engagement?

New TaxFolder user here. We are currently working out how to fully integrate TaxFolder as our client portal solution, and I have a few questions:

  1. For corporate (T2) clients where there are multiple owners, is there away to set-up an engagement so multiple clients (individual e-mails) can view, download, and upload documents to the same engagement? Or would we need to create a new engagement for each owner individually and re-upload the year-end documents separately?
  2. Is there any chance there will be connection from TaxFolder to DoxCycle? Like import the uploaded records into DoxCycle directly from the engagement in TaxFolder?

In TaxFolder a client can only be attached to one email. That email is used to set-up a single corresponding client portal.

If the goal is to facilitate file sharing, you could create a client with an email address all the owners would be able to access (ie info@corporation.com) and use that to allow access for all the owners to a shared client portal. This could get complicated if your client wants to add the additional 2FA security to their client portal. In that case, this option is less desirable as one person (whoever has the cell phone or authentication app attached to the client login) would need to always be available to complete the login. You would also need to make sure your TaxCycle file has the shared email address in the Authorized contact section on the Info form as that is how TaxCycle finds the correct client in TaxFolder.

Another option, and the one I would recommend, is to designate one of the owners as the primary contact/client and “keeper of the portal” for uploading and downloading files.

Regardless of how you set-up your client or organize your engagements, in TaxFolder you can create each signature and/or approval request from a single client / engagement and send it to multiple recipients to sign and/or approve.

For example, where Partner A needs to sign and Partners B & C need to approve, you can create one document request in TaxFolder, add all three recipients to the request, add a signature field for Partner A ,and send. All three partners will receive the document request, Partner A will be asked to sign, the other two partners will receive the document with an option to approve.

For direct export to DoxCycle, it is something we want to do at some point in the future, but it most likely won’t be this year.

Thanks so much for the quick response. I think in cases where all the owners need access to the documents, we may just opt to manually add the signed documents to duplicated engagements for each client.
