Im curious if anyone wants to share how they use TaxFolder for the annual T1 document gathering.

I used iFirm in the past. It was okay but the service from WK has been declining. Clients would upload to a yearly folder that was automatically added and the send me an email. Multiple persons could have access to the same.portal (spouses could add their own files)

TaxFolder has to be setup individually with on portal per taxpayer.

How do you initiate opening a folder?

Currently, you would need to add the client manually in TaxFolder OR send a request from TaxCycle to TaxFolder using the print dialogue and selecting the option to “Invite new client to TaxFolder”.

Each of these workflows will add the client, create a new engagement and triggers an email invitation that your client can use to connect to their TaxFolder client portal.

Once connected, your clients can open the engagement you created and upload their documents or view documents you have shared with them. When all documents are uploaded, the client can select to notify you that their file is ready to process.

One of the customer suggestions we are tracking is the ability for a client to create their own engagement folder. If this is a feature that you would like to see added, please post in the Product Suggestions and add the TaxFolder tag. We use this as one of our tools to monitor and prioritize feature and improvement requests.

I created a PDF of how to use TaxFolder (a “Welcome” instruction sheet) and then created a custom print set in TaxCycle so that when I print that document from within TaxCycle, it automatically creates the folder in TaxFolder, and sends the welcome instruction sheet with a custom email letting them know to review the instructions waiting for them in their new account. Once the clients are onboarded for the first time, I have a similar custom email annually telling them that I have created the new year folder for them to start using (I created in December last year but clients have requested having it available even sooner, so I may do that this summer instead this year).

@lynne Do you set up only one upload folder per family?

@sarka I am more curios about process with respect to gathering client information and how others are management it. Particularly how the folders are handled with clients. For example, is only one upload folder created per family.

With systems like iFirm and Sharefile and SharePoint, I can have multiple users access the portal to upload and download. With TaxFolder it seems there can only be one user.

No, each person gets their own TaxCycle account to facilitate electronic signing but I tell them their spouse can load documents to their own account for them if they wish (ie one spouse can load all documents to one account for both of them).
