Tax Folder Signing Email Goes To Junk/Spam

Does anyone else have this issue where clients are receiving the email from taxfolder requesting signature going to their spam/junk folder?

I want to know if its an issue with other firms or just my email.

Not all will go but I’ve had Adobe going to junk as well

Yes, it happens with most TaxFolder emails and most email providers. Even worse is hotmail will delete the emails as junk before the client even sees them.

Because of this, we have clients whitelist TaxFolder so that all emails go to their inbox, the same with all of our firm emails.

Yes but this is a backward work around, it does not look professional to ask clients to do this. There must be a way to get the taxfolder domain on the safe list so it lands in the inbox for all clients

The only way we can guarantee deliverability would be if we removed the ability for customers to embed their own custom messages and subject lines into the email notifications. While we follow best practices for email deliverability related to transactional emails and have a 99% reputation score, it is not an exact science and spam filters continue to evolve to protect mail recipients. There are many variables that are considered by the spam filter systems. Some things that may cause emails to be evaluated as spam are things like:

  • Using ALL CAPS for the recipient name in the subject line or body of the email
  • Any language that implies a sense of urgency (ie sign now, time limits to respond)
  • Some words are evaluated as more “spammy” than others but the email clients don’t disclose their lists.

We will be putting together a blog to help provide guidance for custom templates used with TaxFolder and are investigating if there is something on our end that changed and/or can be improved.

We had Shaw blacklist our main firm email for all their clients because we used the words invoice, payment, urgent, and reminder. It took months to get that info out of them about the blacklist as they kept telling me there was nothing going on and clearly this was a problem with out own IT/email domains.

I’ve had to get creative with how we email reminders for payment, and we use mailchimp now for anything that needs to go to all clients.
